Privacy Policy for Haeger & Carlsson Executive Search & Interim AB

 

The service for the management of recruitments and the simplification of the hiring process (the “Service”) is operated by Teamtailor on assignment from Haeger & Carlsson Executive Search and Interim AB (the “Controller”, “we”, “us”, etc.). It is important that the people who use the Service (the “Users”) feel confident about and are informed of the way we process the User’s personal data in the recruitment process. We strive to maintain the highest possible standards regarding the protection of personal data. We process, manage, use and protect the User’s personal data in accordance with this privacy policy (the “Privacy Policy”).

 

1. General

We are the Controller in accordance with the applicable legislation on personal data. The Users’ personal data are processed with the aim of managing and facilitating the recruitment of employees in our operations.

 

2. Collection of personal data

We are responsible for the processing of the personal data provided to the Service by the Users or for such personal data that we otherwise collect with regard to the Service.

 

We collect personal data on Users from the Users, when a User applies to the Service or otherwise enters their personal data personally or through a third party, such as Facebook or LinkedIn, that uses the Service to connect to our website. We collect data from third parties such as Facebook, LinkedIn and other public sources. This is referred to as “sourcing” and is carried out manually by our employees or automatically in the Service.

 

In certain cases, existing employees may recommend potential candidates. If such cases, the employees will provide personal data referring to the potential candidate. If this occurs, the potential candidate is considered to be a User within the scope of this Privacy Policy and will be informed of the processing.

 

Categories of personal data that are collected and processed:
The categories of personal data that are collected through the Service may be used to identify natural persons based on their name, e-mail, pictures and video clips, information from Facebook and LinkedIn accounts, answers to questions posed during a recruitment process, titles, education and other information that the User or others have provided via the Service. Only personal data that are relevant to the recruitment process are collected and processed.

 

The purpose and the legality of the processing:
The legality of the processing of personal data is based on our legitimate interest to simplify and facilitate recruitments. Personal data processed for the purpose of aggregated analysis or market surveys are always anonymised. Such personal data cannot be used to identify an individual user. Such personal data are therefore not considered to constitute personal data.

 

Consent from the data subject:
The User consents to the processing of personal data for the purposes of managing recruitment. The User consents to their personal data being collected through the Service:
When a User makes an application through the Service and adds personal data about themselves or by using a third party such as our website, Facebook or LinkedIn, and that he Controller may use external outsourcing tools to add additional information and uses the Service to connect to the Controller’s recruitment department, and adds personal data about themselves personally or by using a third party source such as our website, Facebook or LinkedIn. The User also consents to the Controller collecting publicly available information on the User and compiles it for recruitment purposes.

 

The User consents to the processing of the personal data collected according to a) and b) above according to the below sections ‘Storage and transfer’ and ‘How long the personal data will be processed’.

 

The User has the right to recall their consent at any time by contacting the Controller, using the contact details provided under item 9. However, the exercise of this right may mean that the User cannot apply for a certain position or otherwise use the Service.

 

Storage and transfer:
The personal data collected through the Service are stored and processed within the EU/EES or in a third country that the European Commission considers has an adequate level of protection, or they may be processed by suppliers that have entered into such binding agreements that fully meets the legality of transfers to third countries (such as Privacy Shield) or by other suppliers where there are sufficient safeguards to ensure the rights of the data subjects. How long the personal data will be processed:
If a User does not oppose the processing of their personal data in writing, such personal data will be stored and processed by us for as long as we consider it necessary for the above stated purposes. Please note that a candidate (a User) may be of interest in a future recruitment. For this purpose, we may store the User’s personal data for as long as they are considered of interest for potential recruitments. If you do not want your personal data to be processed for this purpose (future recruitments), please contact us using the contact details in item 9.

 

3. The User’s rights

Users have the right to request information on the personal data processed by us by notifying us in writing, using the contact details set out in item 9 below. A User has the right to one (1) copy of their processed personal data at no cost. For additional copies, the controller has the right to charge a reasonable fee, based on the administrative costs of such a request.

 

If required, a User has the right to rectification of inaccurate personal data concerning them, by requesting such rectification in writing, using the contact details provided below in item 9.

 

Under certain circumstances, the User has the right to request erasure or restriction of processing and the right to object to processing based on legitimate interests.

 

The User has the right to withdraw the consent to the processing provided by the User to the Controller. However, the exercise of this right may mean that the User cannot apply for a certain position or otherwise use the Service.

 

Under certain circumstances, the User has a right to have the personal data transferred (data portability), which means the right to receive their personal data and transmit them to another controller, provided this does not adversely affect the rights and freedoms of others.

 

The User has the right to lodge a complaint with the competent supervisory authority regarding the processing of their personal data, if the User considers that the processing of personal data relating to him or her infringes the applicable data protection legislation.

 

4. Security

We prioritise personal integrity and therefore strive actively to process the User’s personal data with the utmost care. We undertake any measures that can reasonably be required to ensure that the User’s personal data are treated securely and in accordance with this Privacy Policy and the GDPR.
However, the transfer of information via the Internet and mobile networks can never be entirely risk free, so all transfers are carried out at one’s own risk. It is important that the User also takes responsibility for ensuring that their data are protected. It is up to the User to ensure that their login details remain secret.

 

5. The transfer of personal data to third parties

We will not sell or transfer the Users’ personal data to third parties.
However, we may transfer personal data to:
our suppliers and sub-suppliers, in their roles as processors and sub-processors, according to our instructions, for the provision of the Service; government agencies or legal advisers in case of a suspected crime or inappropriate behaviour; and government agencies, legal advisers and other operators, if we are required to do so by law or a decision by a government agency. We only transfer the Users’ personal data to trusted third parties. We select our partners carefully, to ensure that the User’s personal data are processed in accordance with applicable personal data protection legislation. We cooperate with the following categories of sub-processors: Teamtailor, which provides the Service, server and hosting companies, e-mail distribution companies, companies involved in video editing, search engine providers, analytics services providers and other companies linked to the provision of the Service.

 

6. Aggregated data (non-identifiable personal data)

We may share aggregated data with third parties. If so, the aggregated information has been compiled based on information collected through the Service and may, for example, consist of internet traffic statistics or the geographic location where the Service was used. Aggregated information does not contain any information that is attributable to a specific individual and does therefore not constitute personal data.

 

7. Cookies

When a User uses the Service, information of their use will be stored in the form of cookies. Cookies are passive text files that are stored by the browser in the User’s device, such as their computer, mobile or tablet pc, when connected to the Service. We use cookies to facilitate the User’s use of the Service and obtain information, such as statistics, about the User’s user of the Service. We do this to safeguard, maintain and improve the Service. Information obtained by Cookies may also constitute personal data. In such cases, the processing is covered by our “Cookie Policy” (link to the Policy).
Users may at any time decline the use of cookies by making changes on their device. However, in such a case, the User’s experience of the Service may not be as good; for example, certain features of the Service may no longer be available.

 

8. Changes

We have the right to make changes or amendments to the Privacy Policy. The most recent version of the Privacy Policy will available via the Service at all times. A new version is considered to have been communicated to the User when the User has either received an email message that informs the User of the new version (sent to the email address provided by the User in connection with the use of the Service) or when the User is informed about the new Privacy Policy.
